Program Terms & Conditions

These Terms and Conditions (the "Terms") will become the terms and conditions of the agreement between Future Framers Education Society ("Future Framers") and you, the participant ("Participant"), for participation in the Future Framers Gap Year program (the "Program").

PROGRAM SUMMARY

  1. The Program will begin in September and end in May.
  2. The Program is hybrid in its delivery, meaning both in-person and online sessions (such as Zoom). 
  3. The Program will have two in-person, multi-day intensive session “camps” that take place in Canada, the United States, and/or Mexico.

APPLICATION AND ENROLLMENT

  1. Space in the Program is first come, first served. 
  2. Applications will be accepted until August 15 or until the Program is full. 
  3. Applicants must complete an interview with Future Framers within two weeks of applying. 
  4. Applicants will be notified of their acceptance or rejection within a week of their interview.
  5. Applicants accepted into the Program have until August 15 to complete the enrollment process, space permitting. Accepted applicants are encouraged to enroll as early as possible to hold their space in the Program.
  6. Any Applicant accepted after August 15 must complete enrollment within 48 hours of being accepted.
  7. All applicants are asked to review our Essential Eligibility Criteria before submitting their application.
  8. Future Framers retains the right to reject applicants deemed unsuitable for the Program due to not meeting stated criteria or requirements for admission. 
  9. Future Framers is committed to the accessibility of its Program does not discriminate based on gender, ethnicity, nationality, religion, sexuality, or ability. 
  10. Once accepted, a Participant is considered “enrolled” when all of the following are received:
    • Initial payment (see PAYMENT)
    • A fully signed Release Of Liability, Waiver Of Claims, Assumptions Of Risks And Indemnity Agreement
    • The Health and Wellness Form
  11. Enrolled Participants will receive additional guidance and resources prior to the start of the Program.
  12. Future Framers will maintain a waitlist for accepted applicants wishing to enroll should space open up in the Program. The waitlist priority is determined by the date the applicant was accepted. If the waitlisted applicant does not enroll by the deadline provided, Future Framers will offer the space to the next applicant on the waitlist.

TRAVEL POLICIES

  1. The Participant is responsible for obtaining and maintaining all necessary travel documents, including but not limited to passports (valid until at least 6 months after the expected return date), visas, and parental/guardian consents.
  2. The Participant will be responsible for their own health and travel insurance coverage for all travel. Future Framers recommends Participants acquire travel insurance that covers emergency medical care, evacuation, and repatriation, as well as COVID-19 related coverage, trip cancellation, and loss of luggage. 
  3. While Future Framers does not require vaccinations beyond those required by host locations for in-person activities, we do recommend travelers receive travel-specific vaccinations to help ensure your health and safety, that of others in the Program, as well as residents of the communities we visit.
  4. The Participant is responsible for travel coordination and expenses to and from the in-person sessions, and for optional travel before or after the in-person session programming.
  5. For in-person Program activities, fees include the following from the point of arrival at the designated start time and location until the designated end time and departure:
    • Breakfast, lunch, dinner, and snacks
    • Accommodations for the duration of the in-person Program
    • Program activity expenses (such as equipment rentals, tours, etc.) and entrance fees (such as museums or parks)
    • Transportation to Program activities
    • Instructor and guide fees
  6. Program fees do not cover personal expenses such as travel document costs (passports, visa, etc.), laundry, health and travel insurance, baggage fees, medical expenses, additional meals, or lodging before or after camps. 
  7. Lodging at destinations is typically shared occupancy, shared washrooms, and may include bunk beds. Participants should notify Program staff if they require any lodging accommodations.
  8. The Participant agrees to abide by all local laws and regulations at all in-person Program locations and understands that any violation may result in disciplinary action, including removal from the Program.
  9. The Participant acknowledges the possibility of being required to sign additional documents (such as waivers, terms and conditions, medical forms) by a tour operator, equipment rental, or other third-party activity provider in order to participate in an activity.  
  10. Future Framers may choose to modify, reschedule, replace, or cancel planned activities if circumstances arise that make a specific planned activity untenable.

PAYMENT

  1. Payment of fees in is due upon enrollment:
    • In full, or 
    • The first payment of the two-payment option, or
    • The first payment of a four-payment option (for approved financial aid recipients).
  2. Participants are not guaranteed a space in the Program until one of these payments of fees is received.

REFUND AND CANCELLATION POLICIES

  1. Future Framers makes financial commitments based on enrollment. As a result, we retain a non-refundable $500 deposit with all enrollments. 
  2. If you choose to cancel your participation in the Program, the following refund schedule will apply upon written (email or paper) receipt of your cancellation request.
    • More than 120 days before the start date of the Program: A refund of all payments received, less a $500 non-refundable deposit, will be provided.
    • 120-60 days before the Program start date: A refund of 50% of payments received, less a $500 non-refundable deposit, will be provided. 
    • Less than 60 days before the Program start date: All payments received are not refundable for any reason.
  3. “Start of the Program” is defined as the date of the first scheduled online or in-person meeting of the participants in September of the program year.
  4. Future Framers reserves the right to remove Participants from the Program who violate our policies and agreements. Participants who conduct themselves in a way that is harmful to others or that is disruptive to the Program may be removed from the Program, and/or, if during an in-person part of the Program, sent home, without a refund.
  5. If a Participant chooses to leave in-person Program activities early for any reason, including but not limited to personal emergencies, sickness, or injury, the Participant will be responsible for all medical, travel, and logistical costs associated with their early departure.
  6. No refund will be provided if a Participant is a “no-show”, participates only minimally in the Program, and/or ceases participation before the end of the Program voluntarily or involuntarily.
  7. Future Framers reserves the right to cancel the Program due to insufficient enrollments. In the case of such cancellation, participants will be provided a full refund of all fees collected, including the non-refundable deposit. In the case of cancellation of the Program, Future Framers is not responsible for Participant expenses incurred due to preparation for the Program.
  8. Future Framers reserves the right to make exceptions to this policy.

ASSUMPTION OF RISKS

The Participant acknowledges and understands that participation in the Program involves certain risks, including but not limited to travel-related risks and health risks. At the point of enrollment, participants, and parents or guardians if under the age of 19, will be expected to sign a Release Of Liability, Waiver Of Claims, Assumptions Of Risks And Indemnity Agreement.

HEALTH AND SAFETY

  1. Participants must inform Program organizers of any medical conditions or special needs that may limit their participation in the Program.
  2. Future Framers requires Participants to complete a Health and Wellness Form at the point of enrollment. 
  3. During the course of the Program, Participants are responsible for notifying staff of any changes to physical or mental health that may impact their participation.
  4. Participants must comply with Program directives regarding health and safety.
  5. The Participant grants permission for emergency medical treatment in case of illness or injury during the Program, including the administration of necessary medications. We assume no liability regarding provision of medical care. Applicants are urged to check their insurance coverage to ensure adequate coverage or to purchase travel insurance.

ACCOMMODATIONS

  1. Future Framers is committed to offering reasonable accommodation to provide participants with physical or mental disabilities, medical, or religious needs, whether temporary or long-term, the opportunity to fully engage in the Program. 
  2. Decisions regarding such accommodations are made on an individual basis. 
  3. An accommodation that would substantially alter the curriculum or Program activities, or result in excessively costly, extensive, time intensive, or disruptive change for the Program or Future Framers may not be provided.

WRITING, ART, AND DIGITAL CONTENT

  1. The Participant retains the copyright to any and all writing, art works, or digital content they create during the course of the Program, as well as any other intellectual property rights.
  2. The Participant grants Future Framers a non-exclusive, irrevocable license to use, reproduce, distribute, and display the content that the Participant has chosen to be shared publicly through Future Framers social media, website, public events, publications, email, and/or other means, for our nonprofit purposes, including promotion of the Program.
  3. Any revenue derived through Future Framers’ sharing of the Participant’s creation/s shall be, at the discretion of Future Framers, retained by Future Framers to advance our nonprofit purposes and/or distributed to the creator/s in part or in full. Future Framers may seek a mutual agreement should such uses generate significant revenue.

CONSENT TO PHOTOGRAPHY AND MEDIA & RELEASE

The Participant grants Future Framers royalty-free, worldwide permission to use photographs, videos, audio, or other media taken of participants during the course of the Program for promotional and educational purposes.

RESOLUTION OF DISPUTES

We are committed to your success and satisfaction in the Program and welcome feedback on ways to improve. Should a dispute arise, you agree to first attempt to resolve it directly with Future Framers. We will make good faith efforts to resolve any disagreements fairly, amicably, and promptly. If the dispute cannot be resolved directly, you agree to participate in mediation. A mediator will be selected by Future Framers and the Participant within two weeks of receipt of the Participant’s written notification of intent to move to mediation.

GOVERNING LAW

These Terms shall be governed by and construed in accordance with the laws of British Columbia, Canada.

BINDING

These Terms are binding upon submission of any payment to Future Framers. Terms and Conditions are subject to change without notice. Please contact admin@futureframers.org with any questions.
