Policies & Code of Conduct

Future Framers Education Society (“Future Framers”) is committed to providing a safe, respectful, inclusive, and empowering experience for all in the Future Framers Gap Year program (“Program”) including participants and the Future Framers team (staff, instructors, speakers, mentors, coaches, and any other individuals associated with the presentation of the Program). To ensure a positive experience for all, the following policies outline the expectations and responsibilities of participants in both in-person and online aspects of the Program.

PARTICIPANT ENGAGEMENT

Participants are expected to attend all sessions and events, and to actively participate in discussions, activities, and exercises in the Program. This best supports your success, and maintains continuity and community in the Program.

An absence is defined as missing one hour or more of online activities, or a full day of in-person Program activities.

  1. Pre-arranged and excused absences: Participants are asked to notify Future Framers staff as early as possible if they will be absent. This includes unexpected absences due to illness as well as emergencies.
  2. Extended absences of more than a week or ongoing schedule conflicts should be coordinated with staff to determine how best to maintain your participation. In some cases leaving the Program may be necessary.
  3. Unexcused absences: Unexcused absences are those that have not been communicated or were communicated after-the-fact. Unexcused absences are disruptive to the Program and other participants’ experience. Participants with five or more unexcused absences will be contacted by staff to determine how best to support your participation. If unexcused absences continue, participants may be removed from the Program.
  4. Participants are encouraged to engage in activities outside of the Program including work, volunteer service, coursework, and travel. We ask that you arrange these activities being mindful of your commitments to the Program to minimize conflicts. Please contact staff to discuss options if you anticipate schedule conflicts; we would be happy to talk through options for meeting all of your goals and commitments.

RESPECT

All at Future Framers are expected to communicate with participants, staff, and individuals encountered through the Program with respect and courtesy in all forms of communication, including emails, discussions, and group interactions. Please act responsibly and consider the impact of your actions on others and the Program environment.

As much as possible, conflicts or concerns should be addressed promptly, respectfully, and constructively directly with the party/ies involved. Seek assistance from Program staff for support in resolving conflicts.

JUSTICE, EQUITY, DIVERSITY & INCLUSION

We value justice, equity, diversity, and inclusion, and this is fundamental to the approach of the Program. We strive to create an environment where everyone feels that they belong and can fully be themselves. All at Future Framers shall be respectful and welcoming to differences in culture, identity, background, and perspectives. 

Creating this environment means understanding ourselves and actively opposing bias, bigotry, prejudice, and discrimination. Discrimination based on race, national origin, ethnicity, gender, gender identity, sexual orientation, age, religion, or disability is not permitted.

INTEGRITY

All at Future Framers are expected to conduct activities with integrity. Integrity entails honesty, reliability, accountability, and trustworthiness in fulfilling commitments and responsibilities. It is a fundamental virtue that contributes to building trust, respect, and credibility in personal and professional relationships.

Plagiarism, cheating, using false or unverified information, not crediting original creators, and other forms of dishonesty are not permitted.

HEALTH AND SAFETY

Follow all health and safety guidelines provided by Program staff, both in-person and online. Participants are encourage to have healthy routines such as getting adequate sleep, eating well, and getting exercise. The Program is designed to support the development of these healthy habits, but if you experience barriers, let staff know. Please report any health concerns or emergencies promptly to Program staff. The process for taking absences is outlined in “Participant Engagement.”

Future Framers encourages participants to prepare for potential challenges that may emerge during the course of the Program from: travel, adjustment to new independence or new experiences, personal development work, or topics that may be triggering. Program staff are not prepared to provide professional care for mental health issues and recommend that participants and their family seek professional care for ongoing or severe mental health challenges. 

SOCIAL MEDIA AND ONLINE PRESENCE

Participants are to use technology responsibly and ethically during online activities. This entails exercising discretion and thoughtfulness in posting content on social media related to the Program. Do not share sensitive information about fellow participants or Program activities without consent. Respect intellectual property rights and the privacy of others in online interactions.

During online activities, participants are asked to give undivided attention to the session activities and speakers. This means abstaining from phone and internet use until designed break times. This is respectful to our community and maximizes the benefits of the Program.

ALCOHOL AND SUBSTANCE USE

Participants are to refrain from alcohol and substance use for the duration of the camps and all in-person activities, with the exception of over-the-counter and/or prescription medications.

TRAVEL ETIQUETTE

Participants are to follow Program guidelines and instructions regarding travel logistics and safety. Respect local customs and traditions during in-person travel components. Abide by local laws and regulations regarding the purchase and consumption of alcohol and substances.

CONFIDENTIALITY

The Program will have frequent opportunities for participants to discuss personal matters and share private information. Respect for the confidentiality of this information is critical to creating a safe space for personal and professional development, inquiry, sense of community, and creativity. Do not share information about others that was shared in confidence or that may reasonably be considered private.

GOSSIP

Gossip refers to the casual or informal sharing of personal or sensationalized details about individuals, typically without their knowledge or consent. This information may include rumors, speculations, or details about someone’s private life, behaviors, or relationships. Gossip can spread verbally, through written communication, or via digital platforms. Gossip often has a negative impact on individuals’ reputations, relationships, and overall well-being. We ask that all in the Program communicate about others in a way that respects privacy, shows kindness and compassion, and encourages the well-being of those involved.

ROMANTIC / SEXUAL RELATIONSHIPS

Romantic or sexual relationships between Program participants and staff are prohibited. Participants should be aware that having romantic or sexual relationships with fellow participants may create challenges for themselves or others in the Program. Please be respectful and responsible navigating these challenges and reach out to Program staff if you would like support.

SEXUAL AND GENDER-BASED HARASSMENT AND VIOLENCE

Sexual and gender-based harassment and violence, whether in person or online, is not permitted by any member of the Future Framers community of participants and team members. Harassment encompasses a wide range of unwelcome verbal or physical behaviors including but not limited to: unwanted or inappropriate touching; hostile actions after someone rejects a sexual advance; making indecent or sexual remarks about an individual’s appearance, body, or clothing style; linking opportunities to sexual favors; stalking; displaying pornographic content on computers, social media, emails, phones, etc.; and making sexist or derogatory comments based on gender.

BULLYING & A HOSTILE ENVIRONMENT

Bullying or a hostile environment refers to a situation where persistent and unwelcome behavior creates an intimidating, offensive, or threatening atmosphere for an individual or a group. Bullying is typically directed at an individual or group with less power or perceived vulnerability. This behavior can be verbal, physical, or psychological in nature, and it often involves repeated actions that may undermine a person’s well-being, performance, or standing. Bullying, insults, ridicule, offensive jokes, intimidation, or interference with participation or professional responsibilities is not permitted.

GENDER IDENTITY

We respect people’s right to determine their own gender identity. As much as possible, we will use your gender identity preferences and will remind others in our community to do the same. However, there may be circumstances where we are required to use the sex listed on your passport, such as with travel documentation. Please contact Future Framers staff if you have questions or concerns.

COMPLIANCE

Failure to comply with the Policies and Code of Conduct, and other policies set forth by Future Framers during the course of the Program, may result in disciplinary actions, including removal from the Program. Participants are encouraged to raise any concerns or questions related to the Policies and Code of Conduct with Future Framers staff.
